The Administrative Assistant (MicroBulk) is responsible for performing various administrative and clerical duties to support production, distribution, sales and administrative activities at the facility. Administrative Assistant (Microbulk) Organizes plant safety, compliance and training files Maintains site security standards for visitors, vendors and contractors Acts as back-up to other plant administration for Certificates of Analysis, production tracking and inventory Generates production reports, quality reports and daily tracking of helium for three production locations Coordinates the scheduling of facility meeting rooms and visits Creates, updates and edits security access for employees, visitors and contractors Generates and monitors customer use/outage levels for all MicroBulk customers Compiles and updates MicroBulk customer information Creates alternate supply plan for MicroBulk outages Daily communication with MicroBulk Logistics Manages contact with customer and TM on difficult deliveries Enters orders daily for all MicroBulk deliveries Final amend all MicroBulk orders Assists with new hire paperwork and processing Processes all paperwork in an accurate and timely manner Assists with processing of paperwork associated with plant shipments to other locations or customers Processes and submits plant hours for payroll on a bi-weekly basis Purchases supplies to support production, distribution, sales and administration Invoice processing and vouchering as required for plant purchases Performs administrative duties for the plant, which includes writing correspondence, filing, mail distribution and shipping, answering and directing incoming calls Reports accidents including near misses, unsafe acts or conditions and obeys safety rules Sets tone for employees by setting a good example through observation of the company's Loss Prevention policies and procedures Associate's Degree strongly preferred; High School Diploma/GED required 2 - 3 years of office administrative experience Strong verbal and written communication skills Proficient computer skills, including Microsoft applications and Lotus Notes Strong organization skills Ability to work independently and be self-motivated
