A Columbia, SC area organization is seeking a part time administrative assistant to work 12 hours per week (4 hours 3 days per week) supporting employees and board members. Successful candidates will be experienced administrative professionals who are seeking long term part time employment. Duties: · Assist with the preparation of correspondence, forms and other documents as needed. Organize, develop and implement procedures for recording, filing and distributing documents and maintaining grant and general correspondence files. · Assist in development of data bases to track program information and generate reports from the database system as required. Assist in the preparation of all program information materials, forms and documents. Provide administrative support for workshops, and other meetings. · Maintain schedule/calendars for staff. Act as receptionist, by maintaining desk, answering phones and handling routine inquiries. Handle procurement of supplies, services and travel responsibilities for employees. · Assist in formatting of forms and documents in an easy to understand manner. · Oversee printing and binding needs for documents and reports. · Assist with handout preparation and handle copying and collation of materials. · Assist in development of power point or other presentations and that all IT equipment is available and in working order at the meeting. · Send program documents and information by email to distribution lists and serve as the central point of contact. · Coordinates and prepares for Board meetings. Coordinates with Director to obtain meeting dates, set up conference calls, secure meeting rooms, ensure that all required attendees are properly invited, poll members to confirm quorums and/or meeting dates, poll members to determine participation, physical meeting site setup, assist with the copying and assembly of meeting materials, delivery and/or mailing of materials. Assist with development of agendas and public notification of meetings. Qualifications: Bachelor's Degree and 2 years of experience as administrative assistant or an Administrative Secretarial certificate or Associate's Degree and 4 years of experience as an administrative assistant in a professional executive level environment. Employee must be: * Proficient in MS Office products * Able to communicate effectively both orally and in writing, have good organizational skills and be detail and process-oriented. * Able to accurately prepare, edit and proofread written correspondence and perform data entry without error. * Able to exercise judgment and discretion and perform duties within agency policies and procedures and protocols. * Able to work collaboratively and maintain positive working relationships with others in a team environment. * Able to handle multiple projects by utilizing time management skills and work with a deadline responsive approach to tasks.
